Our client, required a project management system (PMS) for use with their clients. The had looked into a number of off-the-shelf products but found that they were not only difficult to use and administer, they did not really match their requirements.
They needed a solution that would offer a more efficient communication channel between themselves, their client and third party suppliers involved projects. They needed to be able to incorporate feedback, version control and sign off procedures as well as somewhere to store the client’s extensive stock photography.
We built a web-based system that allowed 24 hour multi-user access from anywhere in the world to enable anyone in the project team to access the system. A system of user rights means that all parties using the system can feel secure that each user is only able to see the data they should.
Deadlines and key milestones are easily visible and project visuals can be uploaded and shared with the client ensuring that all project members are working from the same and latest version. Feedback relating to the live project is posted and automatically emailed to the relevant team members so that it can be actioned. A summary of the comments and feedback is available on the project page providing a detailed project history.
Photography used in the client’s projects is attributed and can be searched for by development, project name, date or even theme. High resolution images are available for download by project team members.
The web-based PMS provided them with maximum flexibility and the ability to archive projects along with robust version control. The logical and user-friendly design of the PMS meant that it didn’t take long for any of the users to familiarise themselves with it.
The PMS has revolutionised the way the company works with their client and suppliers - with one system in place projects run a lot more smoothly. They and their client have been so impressed with the system that it has been updated and extended for use with other clients.
